As Logistics (Import) Co-ordinator you will administer the end-to-end processes to import and re-import Company and third-party equipment/goods into the UK from vessels, global worksites and third-party suppliers, in compliance with Company and Regulatory requirements (Import VAT and HMRC Duty).

You will compile key information for the creation of import declarations ensuring detail and accuracy throughout the clearance process, while also maintaining effective communication with all key internal/external stakeholders (e.g. SCM, Projects, Quayside, Warehouse, Suppliers).

Good organisational skills will be essential in order to plan and co-ordinate multiple, sometimes competing, tasks within this fast-moving role.

Applicants should ideally have a background in equipment logistics or demonstrate role relevant experience at Co-ordinator or Administrator level, along with a positive pro-active approach to learning. In turn, we will develop your knowledge and experience to enable you to fully undertake this important role within our SCM Logistics team. Key activities include:

What will you be doing?

  • Co-ordinating all aspects of the import process, including customs clearance, tracking status to ensure on-time delivery.
  • Proactively support internal customers namely Projects, Offshore Resources, Asset owners and Warehouse with performance of all assigned import activities.
  • Maintain accurate and up-to date records of all imported goods and equipment.
  • Process all third-party freight partner costs by creation of Service Entries to match invoicing.
  • Prepare information for management of the monthly Deferment and VAT PVA report.
  • Attend and make effective contribution to monthly meetings.
  • Contribute to the development and improvement of systems, procedures, and processes.
  • Perform any other relevant tasks as required to support business delivery.
  • Participate in on-call rota, if required, and when fully trained.

What experience would we like you to have?

  • Experience within a similar support role, ideally within an operations / logistics environment.
  • Effective communication skills, both verbal and written, maintains positive and collaborative relationships with a diverse group of stakeholders, vendors, and colleagues.
  • Numeracy and analytical skills and the ability to work with detail and accuracy.
  • Pro-active planning and organising skills, able to identify and effectively prioritise workload and meet multiple, competing deadlines.
  • Demonstrates initiative to work unsupervised, will support wider team activities.
  • Flexible to adapt to changing priorities and tasks.
  • Adaptable to undertake occasional travel to other Company sites within Aberdeen.
  • IT literate, accustomed to operating MS Office products. Sharepoint and SAP would be beneficial.
