POSITION PURPOSE STATEMENT:

Subsea 7 has a requirement for a Contracts Specialist to join the Offshore Resources (OR) team based in our Westhill, Aberdeen office on a maternity cover basis for an initial period of 6-9 months.  Reporting to the Contracts Team Lead / Senior Contracts Engineer this is a challenging and diverse role with responsibility across a broad range of products and services in a fast paced operational environment.

The Contracts Specialist forms part of the Contract Department resource pool and is primarily responsible for providing Contract Management support to the Offshore Resources Group in accordance with the relevant Company procedures.

MAIN DUTIES & RESPONSIBILITIES:

  • Proactively contribute to the department and Company’s definition of Contract Department strategies and goals and to the achievement of these.
  • Proactively support external and internal clients (e.g. Commercial, Marine Assets and Projects) by;
  • Identifying the rights and obligations of Company and the Client within the Contract (including tender stage),
  • Seeking and pursuing opportunities and advising of risk within the Contract (including tender stage),
  • Examining unusual events to establish cause, effect and liability,
  • Advising on whether changes are in fact variations or amendments to the contract,
  • Preparing, submitting and controlling variations in accordance with the Contract and the Company procedures
  • Reviewing all incoming and outgoing correspondence to ensure that the Company’s contractual position is not jeopardised and to seek opportunity,
  • Ensuring that the requisite insurance policies, Parent Company Guarantees and Performance Bonds are placed and that timely notice of any claims under any Company or Client provided insurance policies are made,
  • Ensuring compliance with relevant Company procedures, particularly those of the Project and Legal suites,
  • Promoting contractual awareness within the Project Team.

General Administration

  • Set up invoicing process with the Cost Controller in accordance with the Contract.
  • Assist Project Manager in general co-ordination and administration of the Project.
  • Assist with the preparation of the Project Monthly Status Report (PMSR) and attendance at the PMSR meeting

Subcontractors and Suppliers

  • Advise the Supply Chain Management (SCM) Group of those main contract terms and conditions that are to form part of subcontracts or purchase orders.
  • Assist in agreement preparation if SCM presence on project is insufficient.
  • Provide contractual advice when requested.
  • Identification and control of supplier changes when requested.             

INTERFACES

External

  • With Client and Client’s Insurers, Subcontractors and Suppliers.

Internal

  • All internal client and other interfaces as required and considered appropriate and necessary to fulfil the tasks for each project / tender.

 QUALIFICATIONS, SKILLS AND EXPERIENCE          

  • Qualification as a Quantity Surveyor (QS) or LLB, engineer or economist/business manager; in all cases with the addition of relevant experience in and a real exposure to the challenges outlined above. In certain cases extensive relevant experience may replace the requirement for higher education.
  • Excellent interpersonal and communication skills.
  • Adaptability, initiative and problem solving capability.
  • Ability to work under pressure in an environment which expects the highest levels of confidentiality and ethical behaviour.
  • High degree of computer literacy and good general knowledge of Information Management tools
  • Excellent written and oral communication skills and fluency in English
