We are looking for a fulltime Department Secretary (Legal & Communications support) to join our Legal Department in Zoetermeer

The great thing about this role is that it is a diverse role where you provide administrative support to the Legal Team but also get into the buzz of Communications, playing an active role in helping us tell our story internally and externally. Below is an indicative list of tasks:

 

Key Responsibilities:

Legal:

  • Be first point of contact within the organization for certain types of legal support
  • Leave planning coordination for the team
  • Calendar management for the Legal Director
  • Make requisitions and registrations in SAP
  • IT requests for new employees
  • Coordinate and planning of Learning & Development sessions
  • Archiving original documents in the safe
  • Maintain a SharePoint site for the department
  • Arrange flight/hotel for Business trips
  • Registration conferences
  • Document lay out check
  • Project related support for Contract management

Communications:

  • Assist with event planning and communication projects
  • Social media content gathering, planning, posting
  • Website content updates
  • Tracking and reporting agreed analytics to measure communications effectiveness
  • Manage some pieces of work to completion
  • Planning & coordinating lunch & learn sessions
  • First point of contact for Seaway 7 Communications e.g. mailbox management
  • Work with project teams and sales and marketing to create datasheets, case studies and presentations
  • Collating content and formatting the Seaway 7 newsletter
  • Responsible for monitoring advert schedule/arranging artwork
  • SharePoint updates
  • Management of image and video resources
  • Requisitions and maintaining merchandise and marketing stock
  • Managing updates to all Seaway 7 distribution lists & distributing employee emails & campaign materials e.g. posters/videos to worksites
  • Project site support
  • Keeping intranet up to date, for example add news items etc.
  • Support with conferences and events

 

Capability Profile / Qualifications:

  • Minimum Secondary Vocational level of education (Secretary or Office Management)
  • Minimum of 3 years experience in a secretarial or communications related role.
  • Excellent knowledge of Microsoft Office applications.
  • Excellent knowledge of oral and written English.
  • Customer focused, entrepreneurial, commercial minded, a team player and result driven with good analytical skills.
  • Excellent communication, planning and coordination skills.
  • A team player who can also work independently.
  • Multi-tasking.
  • Proactive, decisive, persistent attitude.
