Project Secretary

Location:  Qatar Office

Within Africa, Middle East & Caspian region (AMEC), we safely execute Subsea and Conventional projects which connect seabed wellhead infrastructures to surface facilities such as platforms and floating production systems. We are actively present in a significant number of countries in Africa, Europe, Caspian Sea, Middle East and Asia.

                                                                                                  

OVERVIEW OF ROLE

The Project Secretary must have a good general knowledge of all functional office activities and would be expected to manage all the project administrative work relative to operational activities as well as carry out secretarial duties for the NOC Project Manager and Senior Managers.

The Executive Secretary will functionally manage all Administration positions in the organisation (if any).

 

KEY RESPONSIBILITIES

Provide full secretarial and admin support to the project team to ensure the smooth running of the Project activities.

The employee’s responsibilities include, but are not limited to the following:

  • Interprets company policies, anticipates and prepares materials needed by the supervisor(s) for conference, correspondence, appointments, meetings etc. and informs supervisor(s) on matters to be considered.
  • Prepare meeting notes.
  • Manage appointments, organize meeting venues, administrate the compilation and distribution of confidential documents.
  • Purchase of office equipment.
  • May supervise other administrative staff.

KEY QUALIFICATIONS/EXPERIENCE

  • Professional with pleasant personality. Good written and verbal communication and interpersonal skill. Able to communicate effectively at all levels.
  • A diploma in Business Studies is preferred but a sufficient length of suitable practical experience not less than 5 years in a similar position would be considered.
  • Proactive, demonstrates positive attitude and flexibility in work approach.
  • Mature, with an attention to detail and highly resourceful.
  • Ability to multi-task and work independently with minimal supervision. Willing to collaborate with cross discipline teams as required by Project or department.
  • Proficient in MS Office applications (Excel, Words, Visio and Adobe Acrobat). Experience in SharePoint will be advantageous
  • Relevant experience of document control management

  • Operate within the Business Code of Conduct
  • Operate according to Subsea 7's Management Principles
  • Support standards and procedures for the relevant Function
