Junior Supply Chain Specialist 

Location: Istanbul- Turkey

We provide project management, engineering and construction expertise across the full field lifecycle. These services are delivered within three operational business units: Subsea and Conventional, Life of Field, and Renewables and Heavy Lifting.

Within Africa, Middle East & Caspian region (AMEC), we safely execute Subsea and Conventional projects which connect seabed wellhead infrastructures to surface facilities such as platforms and floating production systems. We are actively present in a significant number of countries in Africa, Europe, Caspian Sea, Middle East and Asia.

 

Function Overview

  • Provide SCM support for goods and/or services procurement requested by the in-country project(s). Work jointly with SCM Specialists/SCM Engineers and under supervision of the Lead SCM.
  • Supports the local SCM Team/Lead in order to alleviate their daily works/tasks especially regarding the process (data entering).
  • S/He ensures a good and efficient interface with other departments (Accounting/Finance for invoicing, Logistics and Administrative Affairs for good receipts/service acceptance).

Key Responsibilities

  • Follow where needed with the Suppliers Bidders List based on Buyers and Lead SCM recommendations.
  • Check the comprehensiveness of the Purchase Requisition (PR) content, request any missing information to PR Requestor and if necessary complete the PR data.
  • Ensure that confidential and commercial information is not disclosed to third party without authorization of the primary party.
  • Complete price, commercial data validated by Buyers and other necessary data for the PR readiness.
  • When requested by Buyers, submit the PR to the Budget Holder.
  • Chase and claim the validation of the PR by the Budget Holder.
  • Create the Purchase Order (PO) following Buyers’ sourcing decisions and using the proper terms & conditions validated by Buyers.
  • Prepare the draft (if required) and final Purchase Order according to the SCM processes, chase its validation and signature by the relevant authority
  • Create and maintain the PR files according to the valid SCM processes (initial PR, supplier quotations, PR, PO, Supplier Receipt, etc…).
  • Maintain the PR and PO up to date and manage any necessary revision according to the SCM processes.
  • When requested by Buyers, prepare the Supplier Recommendation Form.
  • Participate to meetings (e.g. Kick-Off) with Suppliers upon Buyers request.
  • Ensure regular feedback to Buyers and Lead SCM about running activity, schedule and completion of works.
  • Ensure feedback to Buyers about supplier performance (speed, reactivity, communication, relation, accuracy, etc…).
  • Provide other type of support to Buyers upon request outside of the above non exhaustive list.

Department Support  

  • Highlight all discrepancies in SCM processes, identify related risks and propose actions to minimize such risk.

Role Requirements

  • Fresh graduate (or 1-2 year experience) with Degree in a relevant discipline
  • Is interested in the overall project schedule, planning, organisation.
  • Good communication & administrative skills, building effective relationship with suppliers.
  • Must be fluent in English (oral and written). Moreover, must be comfortable with interlocutor speaking English over the phone, from anywhere in the world.
  • Effective interpersonal and communication skills and accurate reporting, both written and verbal (especially in English).
  • Quick learner with strong commitment.
  • Flexibility, strategic thinking & time management
  • Medium/Advance knowledge on Microsoft Pack office.
  • Knowledge on ERP systems (preferably SAP).

Authority/Dimensions

  • Operate within the Business Code of Conduct
  • Operate according to Subsea7’s Management Principle
  • Support Standards and Procedures for the Supply Chain Function
  • For level of Authority the SCM Specialist
  • is not authorised to commit the Company on his own. Any commitment with third parties must be authorised by budget holders.

Working Conditions

The position is based in Istanbul with occasional travels to project worksite
