ROLE OVERVIEW

The Technical Clerk / Interface Coordinator performs a key role in the control and coordination of all engineering technical queries and deviation requests that exist for a given project/contract scope of work.  The Technical Clerk / Interface Coordinator will report to the Document Control Team Lead and take direction from the Project Manager and/or Project Engineering Manager.  The Technical Clerk / Interface Coordinator will also be responsible for carrying out general tasks such as logging queries, producing reports, facilitating interface meetings and may be required to perform document control tasks.

All personnel are expected to contribute to creating a positive HSEQ culture within Seaway 7 and ensure familiarity with and adherence to local HSEQ codes and practices.

This role is offered on a 6 month contract basis.

SUMMARY OF RESPONSIBILITIES

  • Management of each project technical query/deviation request interface mailbox for internal and external transactions
  • Ensuring timely receipt and update of queries with associated responses (internal and external systems)
  • Providing regular reports for queries to the project team as required
  • Providing support for the production of the final Interface Report which is part of the “As-Built” compilation
  • Ensuring queries are closed out in a timely manner and any potential issues highlighted to the Project Manager and Project Engineering Manager immediately.
  • Establishing, in conjunction with the Project Manager, all relevant internal and external interface partners
  • Establishing a single point of contact for every 3rd party company
  • Facilitating Interface Meetings and produce Minutes of Meeting for distribution internally and to the Client
  • Supporting Global Document Control Manager in training in the use of the Interface Management system
  • Performing Document Control tasks when necessary
  • Assisting with any other duties that may be required for successful business delivery

PERSON SPECIFICATION:

Skills 

  • Excellent written and oral communication skills and fluency in English
  • High degree of computer literacy (Excel, Word, PowerPoint etc.)
  • Familiarity with SharePoint desirable but not essential
  • Ability to communicate at all levels, pro-active and open in communication with all interfacing parties both internally and externally
  • Ability to identify and manage interface issues that could affect a project programme or budget
  • Ability to multitask across different projects, flexible in approach and possess the ability to change priorities as and when business or client needs dictate
  • Ability to prioritise workload and manage time
  • Self-motivated
  • Pro-active and positive to changes and challenges typical of Energy Sector
  • Uphold Seaway 7’s core values and reputation both internally and externally

Experience

  • Previous experience of coordinating and interfacing with engineering project teams and third parties desirable
  • Experience of managing interfaces within a project structure, including other disciplines such as the drawing office, document control, project management, clients and suppliers is desirable
  • Document Control experience would be advantageous, but not mandatory.
