Job Title: Products Project Coordinator 

Position Overview

  • Assists Project Manager in all areas as deemed necessary and appropriate by Project Manager and provides positive contribution to commercial, safety and quality performance of the project.
  • To assist in the insurance that the company/ROV and Survey objectives and legal requirements are complied with.
  • Deputizes for Project Manager in his / her absence, both internally and with client.
  • Any special tasks as detailed by the Operations Manager.
  • The requisitioning of spares, consumables, and rental equipment to support the project
  • Liaising with the Equipment Managers and to assist with the planning of availability of internal equipment.
  • Proactive in ensuring that rental equipment is kept to a minimum and off-hired in a timely manner.
  • Liaising with Materials Management and ensuring that spares and equipment are dispatched in a timely manner.
  • Close liaison / familiarity with offshore sites with respect to requirements for Project / spares etc.
  • Ensuring that equipment returned from offshore is dealt with in the correct manner, i.e. returned for repair, purchase order credited if wrong equipment is supplied.
  • Assisting the Purchasing Department in sourcing of goods and any queries arising from the supplier.
  • Is familiar with technical work scope and the project schedule.
  • Works in line with authority levels set by Subsea 7 authorization matrix, and specific delegated authorities as agreed by Project manager and Operations Manager
  • All personnel are also expected to contribute to creating a culture of ethics and integrity within Subsea 7 and ensure familiarity with and adherence to our Code of Conduct.
  • Raises PR’s and reservations for internal rentals and external projects while keeping track of all related data (ie pricing, material number, vendor, PO number, delivery date).
  • Request for Quote for tooling inventory, mob, demob.
  • Create and approve all SEs related to our internal and external projects.
  • Follow up with vendors on invoicing issues.
  • Run reports as needed for actuals and commitments.
  • Assist accounting with classifying costs on an as needed basis.
  • Create and submit rental invoices to accounting for posting.
  • Creates shipping requests in order to organize equipment to go to projects, clients or 3rd parties.
  • Tracks/communicates & submits to logistics with external vendor manifest and internal manifest for equipment.
  • Tracks and post all internal rentals for Products group as well as submit as needed invoices.
  • Assists asset manager with ETM movements
  • Liaise with Equipment Coordinator to obtain SAP IDs for new equipment.
  • Manage manual input of WBR rates and associated activity codes in SAP for region.
  • Submit AFDs for disposal of tools.
  • Gather and create MRBs for suction pile projects as needed. Manage MBR datasheet.
  • Assist with tooling queries.
  • Administrate the Tooling US SharePoint site.
  • Forecast internal and external recoveries.
  • Forecast external revenue
  • Consistently keep up with sales order internal and external to feed into forecasting
  • All SAP functions for backside of the business.

 

Preferred Experience and Education

  • High School diploma
  • Experience in related coordination activities
  • Proficient in Microsoft Office
  • Excellent written and verbal communication
