DESCRIPTION OF ROLE

The role will provide the day-to-day service delivery of planning and execution of all Project crewing & logistical requirements including but not limited to, personnel logistic operations, Project required training, maintaining training records for client/Project team review, maintaining dialogue with key stakeholders include the Project team to third party contractors and manning agents relating to their assigned vessels, also encompassing all aspects of the mobilisation and demobilisation for personnel being sent offshore. The position will ensure that the Project & group's offshore personnel needs are carried out in an efficient and timely manner. 

SPECIFIC KEY RESPONSIBILITIES & ACTIVITIES

These shall include but not be limited to the following;

• To ensure overview of manning assigned vessels with qualified, certificated and medically fit offshore workers in accordance with National, International and Company specific requirements. Special attention to be provided to the extensive certification requirements for Divers and Marine personnel
• Liaise with appropriate key stakeholders be it Package Leads, Offshore Resources, third party contractors or manning agents on the sourcing of personnel
• To ensure offshore personnel are provided to Project in a timely manner by closely liaising with the key Project stakeholders
• Maintain Project crewing training matrices
• To ensure Projects receive regular updates on each vessel’s crewing status and any areas of concern
• Liaise with onshore/offshore vessel/manning agent/Project management to plan and agree personnel movements, crew changes and engage them where changes of personnel are planned to their specific worksite
• Act as the primary point of contact for Project crewing operational issues for the key stakeholders associated with the assigned vessel(s), efficiently responding to queries from key stakeholders in a timely manner
• To ensure clear lines of communication with key internal stakeholders
• Verify any invoices and expense queries
• Provide general administrative support within the Project crewing team as required
• Participate with the department on-call duty rotas
• Make visits to assigned vessel while mobilising in country in order to build relationships with offshore personnel and gain familiarity with environment and operations
• Provide absence coverage for other Crewing team members
• Ensure Project Crewing Kick off Documents are kept updated
• Regular updates provided to Project Management
• Develop and maintain all visa/permit processing procedures

PERSON SPECIFICATION

• 8 years prior experience in a similar functional discipline or role.
• Understanding of the Offshore Oil and gas/resource Industry including the processes required to mobilise both domestic & international personnel to onshore/offshore worksites (flights, visa, inoculations etc).
• Working knowledge of the competencies/training required for offshore roles.
• Adaptable and pro – active with a structured and methodical approach to tasks, with ability to manage timelines/workflows and deliver under pressure.
• Excellent planning, co-ordination, and organisational skills.
• Well-developed communication and interpersonal skills, with the ability to deal with personnel at all levels.
• Proficient in the use of IT applications, including Microsoft Excel (Expert), Microsoft Word, VPOB, PowerPoint and other data base systems.
• Strong administrative background and experience.
