OVERVIEW OF ROLE

The Seagreen project is a major award to Seaway 7 by SSE Renewables for the engineering, procurement, construction and installation (EPCI) of the foundations and inter array cables for the Seagreen Offshore Wind Farm project, 27km offshore Scotland. The Seagreen development will be a 1,075MW offshore wind farm, comprising 114 wind turbines located off the east coast of Scotland.

The IAC Offshore Site Administrator position is responsible for document control and offshore records management relating to Inter Array Cable installation, test, termination and completion works ensuring that all records are managed, issued and approved in accordance with Project contractual requirements.

There will be a requirement to interface with the Subcontractor personnel performing the works, Employer  representatives and the onshore project management team so excellent interpersonal and communication skills are required.

All personnel are expected to contribute to creating a positive HSEQ culture within Seaway 7 and ensure familiarity with and adherence to local HSEQ codes and practices.

Specific Key Responsibilities & Activities

  • Demonstrates a proactive attitude toward Health and Safety and compliance with Seaway 7 and Project site safety rules and obligations including reporting of incidents, accidents and observations via company reporting mechanism.
  • Provides Document Control support and direction to the Project Team, Subcontractors and Employer as required.
  • Drives and supports Plan Do Check Act (PDCA) quality management approach across the work.
  • Conducts Document Control activities in accordance with project procedure(s) including maintenance of multi-party document reviews, comment management and approval status.
  • In preparation for the works, achieves good working knowledge and understanding of project procedures and interface protocol for document management, issue and receipt as it applies to all stakeholders: Seaway 7 Offshore Team, Seaway 7 Onshore Team, Subcontractors Offshore and Employer.
  • Accurate and timely reporting, recording and issue of document status via the Document Matrix.
  • Identification, reporting of anomalies / errors and drives resolution in a timely manner and escalates unresolved or critical issues to the project team as required.
  • Vessel administration duties as required – e.g., Issuing Vessel Daily Report
  • Documentation and Reporting Expectations:
  • Retention of Offshore Files (Hard and Digital Copies)
  • Document Matrix – Status Reporting
  • End of shift handover and input to project reports as required.
  • Proactive engagement and sharing of Lessons Learned throughout the project lifecycle.

PERSON SPECIFICATION

  • Mandatory Safety Training as per Employer Requirements Site Access Training Requirements Procedure LF000009-HSE-OF-MAT-0001
  • GWO Basic Training
  • Offshore Medical Certificate incl. Chester Step Test
  • Good organisation and communication skills
  • Systematic working approach and good attention to detail
  • Expertise in MS Word, Excel and Adobe Acrobat software
  • Good knowledge of IT network and information systems
  • Good knowledge of documentation workflow and process
  • Good knowledge of documentation planning
  • Ability to motivate a team to achieve quality and schedule requirement
  • Good knowledge of EDMS
  • Proactive in report generation and monitoring
  • Knowledge of other disciplines is desirable (Engineering, Quality)
