OVERVIEW OF ROLE

We have an exciting opportunity for an experienced Administrator to join our Subsea Integration Alliance and Subsea 7 Global Field Development Group Teams. This pivotal role will provide administrative support to both groups, with responsibility for:

SharePoint site Administration

  • Global Admin for Subsea Integration Alliance & Subsea 7 Field Development Group SharePoint sites and their associated subsites for all studies, tenders, and projects.
  • Assist with the creation of new SharePoint sites, user access requests, general enquiries, and troubleshooting, working collaboratively with the IT Support Team.
  • Provide training to new local SharePoint site admins to SIA and guidance
  • Management of SIA SharePoint homepage, SIA Management Area & FDG Site
  • Management of FDG Global SharePoint site content
  • SIA Legal SharePoint support & access management
  • Project and tender contact file management
  • Co-ordinate SharePoint support and access management
  • Regular Interface management with IT to support SharePoint site and systems


Document Administration

  • Management and maintenance of the SIA Document Navigator homepage.
  • Control for all new and existing documents within the SIA Navigator
  • Document formatting in accordance with SIA process
  • Uploading and removing documents on SIA SharePoint site
  • Maintenance of SIA Master document register (MDR)
  • Maintenance of native files register to ensure navigator and native file storages are aligned

General Administration

  • SIA Yammer – global admin, access management and support when there are issues or people need support on how to get access, actively support projects to get team members onto SIA Yammer, and proactively upload admin material on SIA Yammer such as tips etc (Role Description defined as part of roll-out).
  • CTR247 Global Administrator - Co-ordinate support and access management
  • PA support to the SIA Management Team and Global FDG team, collaboratively work between their global teams of Subsea 7 and OneSubsea, supporting with Ad hoc requests
  • Support and planning of key events
  • SIA branding material administration
  • Bookings of meeting rooms, and general travel support for teams
  • Setting up Purchase Orders as and when required.
  • Organization Chart updates

PERSON SPECIFICATION:

  • Extensive administrative experience at a senior level within an international organisation
  • Excellent written and oral communication skills
  • Enthusiastic, self-starter with excellent attention to detail
  • First class organisational skills
  • IT literacy is essential on SharePoint, Outlook, Word, Powerpoint, Excel and Microsoft Teams
  • Driven and flexible individual with willingness to adapt and use own initiative
  • Able to adapt to changing environment and reorganise arrangements at short notice when required
  • Hands on approach is required as individual needs to be able to take initiative and flag issues before they arise
  • Must be able to build good working networks within a split location team
  • Ability to work as part of a hardworking and dedicated team
