BRIEF DESCRIPTION OF ROLE

The Crewing Administrator role will work under general supervision providing day to day administration support to the offshore crewing team within the offshore resources function relating to vessels, encompassing all aspects of the mobilisation and demobilisation for personnel being sent offshore.  The position will be responsible for quality and accuracy ensuring that administrative duties are carried out in an effective and timely manner. This role is a 12 month contract based in our East Campus in Westhill.

All personnel are expected to contribute to creating a positive HSEQ culture within Subsea 7 and ensure familiarity with and adherence to local HSEQ codes and practices.

All personnel are also expected to contribute to creating a culture of ethics and integrity within Subsea 7 and ensure familiarity with and adherence to our Code of Conduct.

SPECIFIC KEY RESPONSIBILITIES & ACTIVITIES

These shall include but not be limited to the following;

  • Assisting crewing teams with hire process; managing pending hires folder by ensuring relevant naming convention is followed when saving crew certification and moving crew in to personnel files once hired in Onboard Tracker.
  • Ensuring marine certification is verified and endorsed against specific flag state for new hires.
  • Assisting crew with documents required for processing Seaman’s book applications.
  • Request PPE for offshore crew as necessary.
  • Booking urgent requests for offshore medicals and survivals where required.
  • Other additional administrative duties as required to support the Crewing team including
  • collection and distribution of mail within the department.

PERSON SPECIFICATION

  • An awareness of the practices required to travel personnel to international locations would be desirable. (ticketing, visas, work permits, inoculations etc)
  • Adaptable and pro – active with a structured and methodical approach to tasks, with ability to manage workload and deliver under pressure.
  • Excellent planning, co-ordination and organisational skills.
  • Good communication and interpersonal skills, with the ability to deal with personnel onshore and offshore.
  • Proficient in the use of Microsoft Word, Excel and Outlook.
  • Prior experience in a similar functional role will be of advantage.
  • A working knowledge of geographical locations and travel time between countries would be advantageous.
