What is the role?

The Workshop Administrator will support activities performed by the Workshop leaders and wider technical teams who manage the maintenance and supply of equipment and ROV systems to vessels and drill rigs.  The role will also interface with other areas such as Supply Chain, Facilities, Support functions and external suppliers.

This office-based role will be located within our Offshore Resources workshop facilities and will require the role holder to be flexible to work from both our Westhill and Tullos locations (Aberdeen).

This is a full-time staff position and in line with the operating hours at the sites we are ideally seeking applicants available to start work each day at 7.30 or 8am.  Some flexibility can be considered.

What will your responsibilities involve?

Duties will typically include creating purchase requisitions, assisting in workshop documentation control and certification, supporting the workshop MS TEAMS site and assisting in the “Inventory 7” workshop requests, maintenance of systems and certification updates.

  • Work as part of a small team ensuring administration tasks are in line with company procedures
  • Raise any I7 requests as directed by Equipment Group/Workshop for equipment to be maintained by workshop
  • Raise any rigging request for equipment or base equipment supporting LOLER operations and support any Subsea 7 Motion Kinetic queries.
  • Update equipment as required for TM Master & EPMS maintenance systems for equipment that has been maintained/supplied from the workshop
  • Update SAP Equipment Notifications – creating M1/M2 notifications
  • Understand and assist in the AFD (Approval for Disposal) process when required
  • Upload/update certification of equipment to the I7 system (where applicable)
  • Update 3rd Party Contractor timesheets in SAP for approval by Workshop Manager/Team Leads
  • Support the Workshop TEAMS site, update HAVS, COSHH, SUWE etc as required
  • Assist with any Sypol (COSHH) updates, managing the Workshop MSDS Sheets
  • Assist with synergi cases, actions, monitoring and statistic data entry
  • Create Purchase Requisitions & reservations where required
  • Create IT Requests for any new starts
  • Liaise with Learning & Development department for arranging personnel training and update monitor the training and competency records
  • Participate and engage in Safety Meetings
  • Build a strong working relationship with all workshop personnel and associated internal/external departments
  • Support other associated duties as required

What are we looking for?

  • Previous administration experience, ideally within the energy industry
  • Experience of documenting equipment and maintenance processes would be advantageous
  • Computer literate with a good working knowledge of Microsoft Office. Sharepoint would be advantageous
  • Working knowledge of maintenance systems i.e. SAP, SAP ETM & TM Master would be advantageous
  • Excellent communication skills, both verbal and written, maintains strong collaborative relationships at all levels across a multicultural global environment
  • Ability to work with detail and accuracy
  • Pro-active planning and organising skills, able to identify and effectively prioritise workload and successfully meet multiple, often competing deadlines
  • Flexible to adapt to changing priorities within a fast-paced 24/7 global business
