DESCRIPTION OF ROLE

The HR Manager, Asia is responsible for the provision of a flexible and professional HR service to Line/Functional Management, Projects, and employees, through full alignment of employee related strategies, Subsea7 policies and relevant legislation. This role is a member of the KL Leadership Team, responsible for the KL Office.

The HR Manager, Asia will be responsible for leading all HR activities in KL including Recruitment, Onboarding, Workforce Planning, Budgeting, Compensation & Benefits and Training.


SPECIFIC KEY RESPONSIBILITIES & ACTIVITIES

These shall include but not be limited to the following;

General Responsibilities


·                 Develop constructive and professional relationships with local stakeholders and HR colleagues within Subsea7.

·                 Provision of HR support to assigned areas of the business.

·                 Efficient, timely, accurate and cost-effective management and delivery of HR activities, always considering the impact of local employment legislation.

·                 Support the standardisation, compliance and efficiency of HR policies, processes, and systems across Subsea7.

·                 Support HR plans and strategy.

·                 Drive and support other business lines supported from the KL office including Pipeline Group (PG) and Seaway7, creating a high value support hub for these businesses.

·                 Ensure the implementation and adherence to Subsea7’s professional tools, policies, systems, and processes.

·                 Ensure that all HR data for employees within remit is accurate and up to date.

·                 Ensure that HR capitalises on lessons learned and is performed in accordance with best practice; striving to mitigate risk, promote safety and integrity.

·                 Participate in Regional and Global HR initiatives as and when required.

·                 Drive efficiency and process improvements within the HR function.

·                 Use digital tools to improve performance and automate workflows where possible.

·                 Add value to the local leadership team in the delivery of strategic projects for the KL office.

·                 Lead and manage team members in line with Subsea7 values and business skills framework.

·                 Review and approve payroll for Subsea7 Asia Pacific, Subsea7 Malaysia, Subsea7 Indonesia and Subsea7 Singapore Contracting Pte Ltd. Ensure a robust understanding of payroll elements so checks can be performed, and all payroll data validated.


Resourcing

·        Support line managers and Recruiters in the recruitment process by assisting with candidate selection and input to recruitment processes.

·       Coordination and facilitation of appropriate selection processes in line with Equal Employment Opportunity policy.

·       Provision of Job Capsule Descriptions or Role Profiles as well as Activity Codes for recruitment purposes.

·       Ensure all employment contracts issued are in line with Company policies and Country legislative requirements.

·       Facilitation of the exit procedure and ensuring that all exit interviews and performed and filed.

·       Completion of paperwork for Employee Services for all new starters and leavers in a timely fashion.

·                 Use recruitment and leaver data to highlight trends and areas of concern to the business e.g candidate availability, turnover trending, competitor hiring etc.

·                 Manage subcontract for contractor payroll and ensure pricing remains in line with market. Regularly check contractor experience with nominated provider.

·                 Use recruitment as a tool to support Diversity and Inclusion aspirations and ensure appropriate focus on early careers.

 

Learning & Development


·                 Identify and set up agreements with local training providers to deliver skill building and professional development training.

·                 Liaise with employees and Functional Managers to identify and book training as per requirements.

·       Support the annual performance review process, Compass, by providing guidance to Managers and employees as    required.



HR Management



·       Maintain relationships with industry bodies and external HR community.

·       Lead and drive diversity and inclusion strategy for KL and ensure local targets are met.

·       Deliver regional and global HR objectives into the KL office.

·       Provide an advisory service to Line and Functional Managers about disciplinary and termination processes.

·        Conduct bi-annual review of Employee Handbook to ensure it complies with relevant legislation and current Company practices.

·       Maintain contact with outbound expatriates and report back any issues to Functional Manager and HR Manager.

·       Ensure that compensation and benefits remain aligned with market and fair for employees.

·       Maintain the cost base for the KL office and ensure consistency in employment arrangements.

·       Liaise with and provide information to Vialto Partners, external auditors and relevant Government bodies as required.

·       Other activities as directed by HR Director.

 

Internal Communications


·                 Work closely with Communications Coordinator and General Manager to ensure KL office culture is aligned with the wider region.

·                 Support timely communication through multiple forums e.g., Town Halls.

·                 Lead office toolbox talks in line with rotation.

PERSON SPECIFICATION


·       A minimum of 10 years’ experience in a similar role.

·       Tertiary or similar qualification in Human Resources.

·       Attention to detail.

·       Able to juggle a variety of tasks at once.

·       The ability to prioritise work and meet multiple deadlines.

·       Professional presentation.
