The Document Controller manages project technical/supplier documentation. He/she is responsible for documents format check and ensures that the project documentation respect the project format. The Document Controller setup the document process within the project and ensures that the documentation flow is tracked and happens smoothly. He/she provides information to the project team regarding the document status. The Document Controller assembles the Final Documentation according to the structure which is given to him/her. He/she is also responsible to archive the project technical documentation.

 

KEY RESPONSIBILITIES

  • Setup the documentation process and issue the Project Document Control Procedure.
  • Setup the Electronic Document Management System (EDMS).
  • Cooperate with Engineering and Planning disciplines to fill document numbers and format information in the Master Document Register (MDR). Ensure that all documents are referenced.
  • Cooperate with SCM to fill document numbers and format information in the Suppliers Document Registers (SDR). Ensure that all documents are referenced.
  • Present the document process and format at supplier Kick-Off Meetings.
  • Ensure that documents format is compliance with project document control procedure.
  • Check and update metadata in the EDMS.
  • Ensure that updated documents are available for project team.
  • Ensure that process given in the project Document Control Procedure is respected.
  • Dispatch documents for internal review or approval and follow-up internal flow.
  • Issue officially documents to external stakeholders and track transmissions.

 

PROFESSIONAL QUALIFICATIONS & EXPERIENCE

  • Fluent in English.
  • MS Word, Excel and Adobe Acrobat software skills.
  • Good comprehension of documentation flow and process.
  • Knowledge of documentation planning.
  • A knowledge of one or several EDMS would be appreciated.

  • Strong analytical skills.
  • Creative problem solving - able to suggest and develop new methods and ways of working.
  • Sound communication skills – able to communicate ideas and results to various stakeholders both in written reports and in meetings, presentations etc.
  • The ability to work in a team as well as individually with a minimum of supervision.
  • The ability to organize and prioritize own work and as such have responsibility for discrete work packages ongoing simultaneously.
  • Understanding of clients’ needs and ability to suggest and apply “fit for purpose” solutions.
