Seaway7 is looking for a Project Secretary on a full time, staff basis, situated within our Taipei office.

As Project Secretary, you will be responsible for supporting the project team, preparing the materials needed by the Project Team for conferences, correspondence, appointments, meetings, telephone calls, etc.

 

WHAT WILL YOUR RESPONSIBILITIES INVOLVE?

  • Coordinates all supportive and facilitating processes
  • Ensuring compliance with all Seaway7 policies, processes, and procedures
  • Maintains correspondence register and E-Mail site for correspondence
  • Make travel arrangements and arrange visas for all Project personnel working onshore and offshore
  • Maintains the Project Sharepoint Site
  • Make reservations, schedule appointments, or administer personnel working schedules
  • Contributes actively to development of the project team and organisation as a whole
  • Actively participates in the team

 

WHAT EXPERIENCE DOES THE ROLE REQUIRE?

  • Good Communication Skills (Good understanding of English Language)
  • Advanced user of Microsoft Office, including Sharepoint
  • High level of accuracy
  • 1 – 2 years’ experience as secretary within technical industry
  • 1 – 2 years’ experience as secretary within complex project matrix organisation
  • Able to prioritise workload and use the time efficiently
  • Works without needing direct supervision
  • Appears confident in person
  • Presents self well
