The Receptionist is the face of the organization, and he/she is responsible for being the first point of contact for the Dubai Branch for people making contact with the Company either in person or telephone.

All personnel are expected to contribute to creating a positive HSEQ culture within Subsea 7 and ensure familiarity with and adherence to local HSEQ codes and practices.

All personnel are also expected to contribute to creating a culture of ethics and integrity within Subsea 7 and ensure familiarity with and adherence to our Code of Conduct.

 

KEY RESPONSIBILITIES

  • Greet and welcome guests as soon as they arrive at the office and assist them to log in to our Teams-go system and print their visitor’s pass.
  • Direct visitors to the appropriate person in all floors
  • Answer, screen and forward incoming phone calls and providing basic and accurate information in-person and via phone/email.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order front office supplies and keep inventory of stock.
  • Update meeting room calendars and schedule meetings
  • Keep updated records of office expenses and cost.
  • coordinating with HSE team for arranging visitors’ HSE office induction and updating the welcome presentation to be displayed on the TV screens.
  • Takes delivery of parcels/documents, ensuring they reach their intended recipient. Also, arranges documents and parcels to be despatched as instructed, either by mail or by courier. Maintain register.
  • Assist the Facilities Administrator in the administration of the Parking slots allotted to management.
  • Activation/Deactivation of Roaming services and maintain register.
  • Checking office supplies (pantry/stationeries) and ordering same where necessary.

 

PROFESSIONAL QUALIFICATIONS & EXPERIENCE

  • Bachelor’s degree.
  • 2+ years of experience as a corporate receptionist.
  • Additional certification in Office Management is a plus.
  • Can speak/write English fluently. Knowledge of Arabic language is an advantage.

 

CAPABILITY PROFILE – KNOWLEDGE, SKILLS, EXPERIENCE SKILLS & CAPABLITIES

  • Excellent communication and interpersonal skills, ability to deal with people at all levels.
  • Uphold Group values as detailed in Subsea7 Management System.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite.
  • Solid written and verbal communication skills (English and Arabic is a plus).
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
