Subsea7 have an exciting opportunity for a Tendering Co-ordinator to join our UK & Global IRM Sales and Marketing Team, based at our Westhill campus, on a full-time, staff basis.

The position will provide administration support to the Sales & Marketing team, primarily in support of the tender process within Subsea7’s SURF and Global IRM business. It is anticipated that this role would suit someone embarking on a career in the commercial field, particularly tendering.

What will you be doing?

  • Responsibility for the administration, preparation and transmittal of tenders
  • Providing administrative support to the Tendering team and wider Sales & Marketing team
  • Keeping a track of all tenders currently being worked on and assisting with ensuring that all work required for all tenders is completed by the deadlines stipulated
  • Downloading tender documentation from relevant e-portal sites such as Ariba etc.
  • Setting up RFI, RFQ and tender documents
  • Setting up projects in Client365 (with technical support from Tender Leads and Business Development Managers)
  • Collating company technical information, such as HSEQ and HR data for the preparation of the tender submission in advance of the deadline for review by the Tender Lead
  • Assist with reviewing tender documents to compile a list of required outputs (including noting timescales and assigning responsibilities to team members)
  • Liaising with other teams, including Engineering, Project Managers, HSEQ, Supply Chain, HR and IT for final input of bids
  • Assisting with keeping a log of all clarifications (pre-tender and post tender)
  • Keeping track records of work/projects completed
  • Organising various meetings during the tender process from Kick Off Meetings for the tender team to Tender Boards with senior management
  • Formatting of tender documents in MS Word and Adobe Acrobat
  • Preparing electronic, and where required, hard copies, of each tender submission
  • Uploading tender submissions to relevant e-portal sites such as Ariba etc.
  • Acting as point of contact for ordering of office materials needed for the Sales & Marketing team
  • Setting up, administration and management of SharePoint sites
  • Taking ownership of supplier qualification systems such as SEQual and completion of client questionnaires etc.
  • Acting as the focal point for the team for assistance with other ad hoc administrative tasks as and when required, including arranging travel and accommodation, preparing minutes of meetings etc.

What experience would we like you to have?

  • Previous experience in an administrative/secretarial/tendering/commercial/marketing background
  • Experience of SharePoint, Adobe Acrobat and MS Office, MS Word, Excel and PowerPoint
  • Will be required to work efficiently, flexibly and effectively as part of a busy team
  • Good organisational skills with the ability to work to tight deadlines
  • Ability to communicate effectively with internal and external stakeholders, both in verbal and written form
  • Good organisational skills and smart working methods
  • Ability to prioritise workload, plan work activities in advance and coordinate conflicting priorities
  • Valued contributor committed to supporting the collective efforts of the group each day
