Subsea7 are looking for an Engineering Technical Team Coordinator to join our Pipeline Group (PG) team on a full time, permanent basis located at our Sutton, London office.  PG are responsible for delivering fit for purpose rigid pipeline installation methods and analysis to projects and tenders supported by the PG with specific focus on safe and cost-effective installation operations.

As an Engineering Technical Team Coordinator, you will assist the Engineering Manager and their supporting team by carrying out a wide range of administrative and secretarial tasks including complicated travel and VISA processing, but also requires a candidate with the motivation to develop themselves supporting the administration of the Engineering Department activities such as weekly progress reporting, quality control audits amongst other activities. 

This role is instrumental within PG Engineering, facilitating collaboration among various sectors to achieve optimal performance in the function.  This is an excellent opportunity for someone looking for a highly varied role and for development where full training can be provided in areas such as Power BI, etc to enable you maximise your potential in the role.

 

What will you be doing?

This will be a varied role and one that will adapt to the needs of PG as our business evolves but some tasks you will be involved in include:

  • Support engineering team based in Sutton and in Aberdeen.  There may also be a requirement to support remotely where other PG engineering teams are located, e.g., Houston, Stavanger, and collaborate with the local admin teams when required.
  • Supporting and assisting with new hires, liaising with HR, Facilities, IT, Security, etc to ensure smooth onboarding.
  • Assist the team in booking extensive travel and expenses, supporting with complicated visa processing, medical requirements for travel as required.  Arrange offshore BOSIET Certificates for Engineers and all other travel related issues.
  • Creating and maintaining Teams/SharePoint sites, Excel spreadsheets (i.e., Skills & Training matrix, HSEQ matrix, expense reports) specific to PG Engineering.
  • Maintaining comprehensive distribution lists.
  • Responsible for reports generation and insights extracted from Subsea 7 databases (e.g., SAP) and compiling into spreadsheets and dashboards (Excel and Power BI).
  • Organise events including a yearly global event for Engineers.
  • Creating PO/PR via SAP.
  • Support Engineering Manager on technical activities.

 

What experience would we like you to have?

  • Relevant administrative/secretarial experience at a senior level, ideally within an international organisation.
  • High level of interpersonal skills with an ability to communicate and interface with widely diverse groups of stakeholders at various levels within a large organisation.
  • A proficient level of IT skills, particularly with Microsoft 365, Outlook, Word, PowerPoint, Excel, and MS Teams. 
  • Highly organised, able to deal with prioritising a wide variety of tasks and dealing with highly changeable priorities and schedules.
  • Good project management skills and a high level of attention to detail.
  • Highly collaborative, able to demonstrate a positive attitude to working in a team, supporting multiple stakeholders and flexibility to assist in tasks not necessarily in your remit when required.
