Subsea7 are seeking an enthusiastic Legal Administrator to join our Legal team in our Sutton or Aberdeen offices on a staff basis.

Reporting into the Paralegal & PA to General Counsel, the relevant candidate will also assist in different areas within administration support group on an as need basis when requested by Administration Team Leader.

 

What will you be doing?

  • It is the Administrator’s duty to be familiar with and act according to the Subsea7’s Code of Conduct and HSEQ policy. Ethics Policy, Human Rights and HSEQ policy statement and the House rules set for the Company.
  • Have full overview, responsibility and ownership for the Legal Department administration filing including filing of Request for External counsel forms, Engagement letters, updating the Entity Data base, and Legal archive and filing of client contracts.
  • Setting up PR and PO for the legal team for the relevant law firms when required.
  • Managing and processing of invoices for the Legal department.
  • Supporting with managing the budget within Legal for each external lawyer costs, at year end making sure all invoices are processed and budgeted for that year to be in compliance with budget.
  • Arranging Notaries
  • Support other members of the legal department with administrative tasks on an as needed basis with Travel, Expenses and Time sheets when needed.
  • Super user on SharePoint in accordance with Document Control System. Fully responsible for internal Legal databases and Global Legal SharePoint site.
  • Supporting with Legal Seminars and events.
  • May be involved with confidential matters.

Attributions /skills / required /sought

  • An experienced administrator with good communication skills and the ability to build a good working environment both within the Legal Department and externally.
  • Strong co-ordination, organisation and liaison skills with the ability to seek and gain consensus solutions to complex issues.
  • Clear and effective oral and written communication skills in both the English language.
  • Use the Subsea7 values to ensure that work is delivered and in accordance with the company agreed processes and comply with standard ways of working.
  • Ability to be efficient in an environment of continuous improvements.
  • Knowledge of SharePoint, SAP, and Microsoft outlook

 

Due to the nature of this role, the suitable candidate should be available to work in the office 5 days per week.
