Within the Global Project Centre – Lisbon Hub, the Secretary will be responsible to support the Engineering Team on the daily activities with focus on the following: 

Specific Key Responsibilities & Activities 

  • Arrangement of travels, accommodations, visas and/or medical appointments for travel as required. 
  • General office duties, organization & coordination of internal/external meetings. 
  • Preparation of documentation, presentations, and spreadsheets. 
  • Dealing with incoming and outgoing correspondence. 
  • Dealing with day-to-day requirements during the absence of the managers including email management when required. 
  • Assisting managers with tasks in SAP. 
  • Assistance with holiday cover while other members of the PA teams are on vacation. 

 

Essential Experience, Skills, and Knowledge 

  • Bachelor’s Degree. 
  • Experience with secretarial skills within a multinational organization. 
  • Excellent skills in MS Office. 
  • Sound English communication skills, both verbal and written. 
  • Strong collaborative relationships at all levels across a multicultural global environment. 
  • Enthusiastic, pro-active planning and organization skills, able to identify and effectively prioritize workload with excellent attention to detail.
