Management Assistant

We are looking for a Management Assistant to join our dynamic Engineering department at our Zoetermeer Office in the Netherlands on a full-time staff basis.
This role involves providing comprehensive administrative support to the engineering management team, as well as actively contributing to internal and external communication projects.
What you will be doing
Support for Engineering Management Team:
- Manage diaries, including organizing both internal and external meetings.
- Coordinate travel, accommodation, and event logistics for the engineering management team.
- Prepare and distribute confidential documents, technical reports, presentations, and spreadsheets.
- Organize and coordinate both in-house and offsite events such as technical forums, team dinners, workshops, and seminars.
- Assist managers with invoice approvals and purchase requisitions in SAP.
- Maintain and update organizational charts using PowerPoint and Visio.
- Complete timesheets in SAP for managers in accordance with local requirements.
- Build and maintain effective working relationships with key stakeholders, including Global Travel Manager, ATPI Travel, Project teams, Facilities, and external partners.
- Manage document archiving and SharePoint site maintenance specifically for the engineering department.
- Visa arrangements
Communications:
- Work with the communications team to gather and plan events / media content focusing on the engineering initiatives, achievements and projects.
- Track and report on communication effectiveness using agreed analytics.
What you will bring to the team

- Proven experience as a secretary, administrative assistant, or in a similar role, preferably within an engineering or technical environment.
- Equivalent of HBO-level thinking and working capabilities.
- Excellent proficiency in Microsoft Office 365
- High verbal and written communication skills in English.
- Advanced organizational skills and multitasking capabilities.
- High integrity, proactive, and decisive with a keen eye for detail.
- Demonstrated positive attitude with a willingness to take on ideas and create results.
