Title: Crewing Coordinator

What will you be doing?
Due to exciting internal movement, Subsea7 have a fantastic opportunity for a self-motivated and organised Crewing Coordinator to support our team at our office in Westhill, Aberdeen on a 6 month fixed term basis.
This is a great opportunity for someone with previous experience arranging travel and supporting an offshore workforce to be part of a large, supportive team where you can continue to build on your experience.
The Crewing Coordinator will provide the day-to-day service delivery of planning and execution of all personnel logistics operations relating to their assigned vessels, encompassing all aspects of the mobilisation and demobilisation for personnel being sent offshore. The position works in conjunction with planners, vessel, operations and other project resource managers to ensure that the group's offshore personnel needs are carried out in an effective and timely manner.
Responsibilities include (but are not limited to):
- Manning assigned vessels with qualified, certificated and medically fit offshore workers in accordance with National, International and Company specific requirements. Special attention to be provided to the extensive certification requirements for Divers and Marine personnel
- To ensure that offshore personnel are provided for vessels/projects in a timely manner by closely liaising with the external travel company, selecting the best option of travel and are in possession of the correct documentation, visas, work permits etc. Assist with visa process as required
- To ensure that personnel being mobilised or demobilised are supplied with valid travel information in good time prior to travelling
- Liaise with onshore and offshore vessel management to plan and agree personnel movements and crew changes and engage them where changes of core crew personnel are planned to their specific worksite
- Maintain reliable scheduling and mobilisation/demobilisation information for personnel in the MAPS personnel planning system ensuring it reflects actual deployment information to allow accurate cost recharge, tax calculations and payroll
- Liaise with appropriate discipline Crewing Planner and Recruitment on the sourcing of personnel
- Raise call offs, hire forms and certification check forms for personnel as required.
- Act as the primary point of contact for operational issues for the management and personnel associated with the assigned vessel(s), efficiently responding to queries from offshore staff in a timely manner
- Liaise with shipping agents and Subsea 7 country management to arrange personnel transfers and other in country services, completing schedule as appropriate
- Ensure Kick off Documents and Vessel Activity Briefs are kept updated
- Maintain Vessel POB to ensure it is kept updated

- Understanding of the Offshore Oil and gas Industry including the processes required to mobilise and travel personnel to international offshore worksites.
- Working knowledge of the competencies/training required for offshore roles.
- Adaptable and proactive with a methodical approach to tasks and ability to manage workflows and deliver in a time-sensitive setting.
- Effective planning, coordination and organisational skill.
- Well-developed communication and interpersonal skills, with the ability to deal with personnel at all levels.
- Proficient in the use of IT applications, including MS Office Suite and database systems.
