Title: Marine Planning Assistant

What will you be doing?
Due to departmental growth and movements, we have a great opportunity for a Marine Planning Assistant to support our Planners in a newly created position. This will be a full-time staff role, based out of our East Campus office in Westhill, Aberdeenshire.
The Marine Planning Assistant will work within nominated resource pool of the offshore workforce (Marine, Technicians, Diving, PG, Welding, ROV, Survey & Inspection, Ops Management, Specialists and Deck & Rigging) and be responsible for manning assigned vessels/positions with qualified, certificated and medically fit personnel in accordance with national, international and company specific requirements.
This is a developmental role which would be well suited to recent graduates or those in the early stages of their career. It would also be an excellent opportunity for those with enhanced administration skills who are looking to diversify their skillset and utilise their transferable skills.
The key accountabilities shall include (but not be limited to):
- Working with the Senior Planner, you will be responsible for manning each allocated vessel/or positions with qualified, certificated and medically fit personnel.
- Review and establish the need for new personnel after liaising with Senior Planner
- Advise any recruitment requirements to Senior Planning team and agencies as necessary.
- Allocating personnel from the pool to the vessels.
- Have a good knowledge of the training requirements for offshore disciplines in the Skill Pool.
- Work closely with the Crewing Coordination teams and Senior Planner to deliver personnel to the vessels in a timely manner, including an understanding of the timelines for processing visas.
- Plan the assignment of personnel, utilising company database to develop short/medium/long term manning schedules.
- Carefully plan and manage the utilisation of staff, day rate and agency personnel, including minimising unused contracted days and excess days worked.
- Provide support/cover to all Skill Pools where required and also support any other activity within Crewing that may be required on an ad hoc basis.
- Support the rotation of personnel around the fleet.
- Deputise for the Senior Planner during their absence.

- Understanding of the Energy Industry including the processes required to mobilise and travel personnel to international offshore worksites.
- Understanding of offshore personnel certification requirements for the disciplines covered.
- Adaptable and proactive with a structured and methodical approach to tasks, with ability to manage workflows and deliver in a dynamic environment.
- Efficient planning, coordination and organisational skills.
- Well-developed communication and interpersonal skills, with the ability to deal with personnel at all levels.
- Proficient in the use of IT applications, including MS Office Suite and data base systems.
- Basic understanding of Human Resources activities including contracts would be beneficial.
- Extensive administrative background and experience.
- Prior experience in a similar functional discipline or role would be of benefit.
- Ability to work extended hours occasionally to support the operational nature of the business.
