Introduction

We are looking for a Senior Contracts Specialist / Contracts Specialist to join our Offshore Delivery (OD) team at our East Campus office in Westhill, Aberdeenshire on a full-time staff basis. Offshore Delivery are responsible for providing, and ensuring the operational capability of, the vessels, equipment, crew and onshore support facilities that power Subsea7 projects and offshore operations worldwide.

 

This role will specifically focus on supporting our Pipeline Group (PG) function to develop and deliver rigid pipelay tenders and projects globally to all Subsea7 Regions, offering maximum value to the end client through locally tailored solutions, automation, and strategic supply chain partnerships. Reporting directly to the PG Contracts Team Lead, the Senior Contracts Specialist / Contracts Specialist will be part of a collaborative SCM and Tendering team responsible for defined elements of tendering as well as the pre-award and post-award SCM activities associated with PG, with an emphasis on continuous improvement and consistent, high-performance delivery.

 

This role presents an ideal opportunity for someone who has relevant commercial and contractual experience, who is highly numerate with good interpersonal, analytical, and administrative skills.

What will you be doing?

This will be a highly varied role but some of the main responsibilities include:

 

Supporting the Contracts Team Lead and SCM Category Lead to:

  • Develop and maintain SCM strategy documents and procurement plans, promote lessons learned and best practice.
  • Identify gaps in our supply chain availability and establish Frame and Enabling Agreements where appropriate.
  • Prepare and issue Request for Quotations (RFQ’s), including gathering any required information from the wider business e.g., main contract flow downs, scopes of work, specifications and HSEQ requirements. Manage any associated clarifications.
  • Complete commercial evaluation of supplier responses to RFQ’s to ensure best value for Subsea7. Ensure that Technical, HSE and Quality evaluations are also completed.
  • Review, evaluate (from a commercial and contractual perspective) and rank supplier proposals and quotations along with other disciplines, prepare bid comparisons. 
  • Manage negotiations with suppliers with the purpose of reaching the most favourable positions for the Company from a commercial, technical, contractual, operational, quality and safety perspective and targeting savings against budget.
  • Make recommendations to award and prepare Supplier Commitment Approval (SCA) forms.
  • Finalise and place subcontracts, call off orders and purchase orders as required.
  • Engage internal stakeholders to identify, evaluate, monitor and mitigate the impact of identified risks and their effect on cost, quality and schedule and other projects, work orders and purchase orders.
  • Accurate financial and progress reporting, including providing input to cost controllers.
  • Execution of contract close-out activities ensuring that all completion certificates are issued, goods receipts and service entry sheets are entered into SAP, invoices are paid,
  • Purchase Orders closed out, any bonds or guarantees are returned, residual warranty obligations are recorded, and a statement of final account is agreed.
  • Participate in lessons learned sessions and supplier performance assessments.

What experience would we like you to have?

  • Contractual experience – demonstrable knowledge of contract law and international contracting standards, with a good understanding and ability to apply key SCM procurement and contracting procedures.
  • Education – a degree in Law, Business Management, or a related discipline. Candidates with extensive industry experience in a similar role in lieu of a formal qualification may also be considered.
  • Industry experience – previous experience in a contracts or legal role, within the marine, subsea, offshore, energy, or engineering sectors.
  • Technical proficiency – demonstrated experience with computer systems, including working knowledge of business enterprise systems and contract lifecycle management tools such as SAP ECC6 / SAP S/4Hana and SAP Ariba.
  • Initiative and drive – able to demonstrate a positive proactive approach and ability to problem solve.
  • Attention to detail – able to demonstrate a high level of accuracy within work that is thorough and consistently meets quality standards, with the highest levels of confidentiality and ethical behaviour.
  • Effective communication – able to communicate with clarity and confidence, and to build strong working relationships across commercial, technical, and operational teams.
