What will you be doing?
Role Overview
Subsea 7 is looking for a skilled Project Admin who has a good general knowledge of all functional office activities and is expected to provide full secretarial and admin support to the project team to ensure the smooth running of project activities and to carry out secretarial duties for the Project Director, in coordination with the other Project Admin based in Dubai, as and when required.
Key Responsibilities
Intensive involvement in project activities, on both Subsea7 and Aramco sides, including; familiarization, training, detailing of organizational reporting lines, roles & responsibilities, requesting of project, hardware, software requirements, setting up communication, correspondence & filing processes, setting up communication lists, set up of Project Portal (SharePoint) with all/any necessary linked systems such as the Project Libraries, OSIT, Pro-Arc, Project Registers, Discipline Pages, My Work, PM7 etc.
- In particular, on the client (Aramco) management side, attention is required to day-to-day interaction to make sure that Client’s daily needs are addressed in a professional and timely manner.
- For both Subsea7 and Aramco teams: Schedule meetings and Conference plus book the rooms with all requested facilities (in- house or external as required by project or client needs).
- Coordinate travel arrangements inclusive of air-ticket, hotel accommodation, visa arrangements, etc. using ESTB system for proper registration, approval and tracking for Subsea7 Team.
- To work with KSA transport and logistic team for logistics requirement for Project team travel to KSA.
- To check and verify staff claims and invoices for the Subsea7 Project team
- To check and verify Offshore & Site/Offshore Timesheets for Subsea7 Team.
- Correspondences – Liaison with Client for both outgoing and incoming letters.
- Undertake any ad-hoc administrative projects/duties as required
- Prepare meeting notes as requested by PM
- Manage appointments, organize meeting venues, administrate the compilation and distribution of confidential documents.
- May supervise other administrative staff.
- Formalization of low value purchase orders as required (LCPO)
What experience would we like you to have?
Qualifications
- English and Arabic proficiency
- Experiences in similar roles for at least 5 years
