What will you be doing?

 

Subsea7 is hiring an Operations & Logistics Administrator that coordinates activity among various internal departments to support operational & Logistics activities for the Project. The primary interface is with Husbandry, Worksites, Supply Chain, Cost Control, and Service providers to ensure personnel and services requested are efficient whilst tracking and recording all associated costs associated.

The Operations & Logistics Administrator supports the Operations Manager, Cost Control Worksites Manager and Logistics Manager.

 

Key Responsibilities

  • Support Subsea7 on-site Logistics, in relation to services requested by the Worksites. Site Logistics personnel will provide daily/weekly updates via Work Order (WO) for services requested on site, Project Logistics Administrator, is responsible for the recording through FCD’s.
  • Ensure that a ‘Forwarding Control Document’ (FCD) is allocated to supplier for each service requested for Husbandry, Freight Forwarding & Marine activities. The FCD to be drafted in advance of service and follow up with internal approvals upon completion of requested service to the invoicing stage with involvement of Cost Control department.
  • Prepare a draft FCD with cost estimation in advance of International Freight Shipments through Pre-Alert for all Imports & Exports prior to arrival/departure to allow projects visibility of expected charges.
  • Review Suppliers Invoices in relation to FCD, cross reference services provided Fixed Tariff and 3rd party receipts to ensure all cost are correct and accurately recorded with Invoices and pass to Logistics/Operations Manager for final approval prior to returning to supplier in a timely manner to meet contractual payment terms.
  • Update relevant trackers within SharePoint database with all service requests and costs associated through to proforma and final Invoicing from supplier invoice ensuring the costs are allocated to the respective project cost function pre-determined by management.
  • Liaise and interface internally with Logistics/Material Co-ordinators, Project Operations and Cost Controller to centrally record all cost associated with local services from Husbandry Services & Freight Agents.
  • Provide additional support to Operations when required.
  • Assist Operations & Logistics Manager with all Logistics administration as per job description throughout the project.
  • Assist with recording of project related costs for the SCM / Cost Control procedure for local expenditure committed on behalf of the project.
  • The Operations Cost Admin is responsible for the day-to-day Operational requests from internal and external departments to ensure services recorded on an internal data base with cost allocation as well as tracking and processing Personnel movements as well as support site operations from a cost control function.

 

What experience would we like you to have?

 

Qualifications

  • 2-3 years of experience with cost controlling/finance/technical office background.
  • Good tracking skills (MS Office tools, Sharepoint etc.), interface/comms skills.
  • English fleuency
  • Experience usingSAP (or relevant ERP)
  • Budget Management
