Subsea7 have an exciting opportunity for an Engineering Technical Team Coordinator to join our Pipeline Group (PG) engineering team on a full-time, permanent basis located at our Sutton, London office. 

 

Reporting directly to the PG Engineering Director, the main function of this role is to provide confidential secretarial and Personal Assistance services to the Engineering Director, other Managers and team members within the PG Engineering function as required. 

 

PG is a global service provider within Subsea7 and although the role will primarily support the team based in Sutton and Aberdeen, there will be additional requirements to provide remote support to other teams in locations such as Houston, Stavanger and Paris and will require collaboration with local support teams. 

What will you be doing?

This will be a highly varied role but some of the main responsibilities include: 

 

  • Provide high-level administrative support to senior management, including preparation of complex documents, reports, and presentations  
  • Effectively manage diaries, inboxes, and priorities, ensuring effective time management and business continuity  
  • Coordinate end-to-end meetings (virtual and in-person), including logistics, materials, and minute taking  
  • Develop, maintain, and optimise documentation systems, templates, and SharePoint sites  
  • Produce and maintain organisational charts, dashboards, and presentations using PowerPoint, Visio, and Excel  
  • Oversee complex UK and international travel arrangements, including visas, medicals, and offshore certification requirements  
  • Manage SAP administration, including timesheets, expenses, and personnel changes  
  • Coordinate departmental activities, including leadership meetings, events, and communications  
  • Act as a key point of contact for IT coordination and first-line issue resolution  
  • Provide leadership and cover within the administrative team as required  
  • Support engineering quality and compliance processes, including documentation, audit preparation, and change record management 

What experience would we like you to have?

  • Demonstrated experience in a senior administrative or secretarial role within a global organisation 
  • Great interpersonal skills with the ability to communicate effectively with stakeholders at all levels up to Senior Management, both internally and externally, and to collaborate seamlessly in person or remotely with colleagues across global locations. 
  • Advanced IT skills across MS Office (Word, Excel, PowerPoint, Outlook), SharePoint, Power BI and Visio  
  • Organised, with an ability to prioritise workload during periods of high volume, as well as conflicting and changing priorities.   
  • Demonstrable ability to handle highly confidential information with discretion, ensuring stakeholder trust is always maintained. 
  • Ability to review work methods in support of continually developing smart and efficient work methods, with an interest in leveraging new systems and technologies to support this. 
  • High level of general administration and organisational skills with meticulous attention to detail and have an initiative-taking and methodical approach.
