Title: Purchasing Administrator
Malabo, GQ
Due to a new project win, we are looking for an experienced Purchasing Administrator to join our team in Equatorial Guinea. Please note this position will be employed on a third party basis for a period of 12 months.
What will you be doing?
Procure Project and office materials/services as allocated by the Project Team and ensure the complete and timely delivery of the material and equipment in line with the project requirements, highlight any potential delays and propose recovery plans, ensure the application of the SCM processes, ensure that the expediting and inspection records are kept up to date. You will be the the single point of contact (SPOC) with the supplier.
- Propose bidders list in line with Company/Subsea 7 approved supplier lists and SCM strategy, issue RFQs.
- Evaluate bids commercially, contractually, technically, and schedule-wise with Engineering, QA/QC, and HSE input; finalise bid summary and recommendations.
- Lead commercial negotiations to secure best value for Subsea 7.
- Prepare and submit Supplier Commitment Approval (SCA); create and obtain approval of PRs/POs in SAP S/4HANA.
- Lead vendor kick-off meetings and ensure clear understanding of documentation and award administration requirements.
- Expedite supplier activities and documentation; attend PPMs, expediting visits, and meetings as required; issue MOMs.
- Monitor manufacturing progress, manage queries/deviations, flag risks, and define recovery plans for potential delays.
- Manage change orders, correspondence, and ensure timely close-out of actions.
- Ensure on-time, in-budget, and in-quality delivery of materials, services, and documentation, issue release notes and trigger goods receipt in SAP.
- Coordinate shipment documentation and liaise with transit agents to anticipate goods release.
- Verify supplier invoices, prepare GR/SES in SAP, and obtain final account certificates.
- Complete supplier performance evaluations and feedback.
- Conduct supplier and Subsea 7 logistics yard visits as required to ensure compliance and progress.

- Solid understanding of Supply Chain Management (SCM) processes and contractual/ commercial principles
- Proven negotiation skills, including commercial negotiation strategies
- Experience with expediting and supplier follow‑up processes
- Knowledge of logistics and materials delivery processes
- Proficiency in relevant systems and tools (e.g. ERP/SAP environments)
- Ability to manage plans, schedules, budgets, and forecasts
- Competence in risk identification and risk management
- Good level of technical awareness within engineering-driven projects
